5 Extras That Can Help Deliver Fantastic Events

Planning and organising events can take months, sometimes even years. Depending on the type and scale of the event, there are hundreds of elements to take into consideration.

With such extensive planning and preparation, getting it right is paramount for many businesses and individuals. There are several things you can consider adding on to the planning process to make your events run even more smoothly and leave your guests feeling like it was all worthwhile.

    1. Free Gift Bags

The cost of giving out freebies will depend on how many guests you expect. When it comes to giving out free gifts at events, guests will generally be pleased that they are receiving something for free. It will make the event more memorable, and if you give away branded merch, it’s another way for your guests to remember your company for longer. Factor the cost of free gifts into the budget from the start to ensure there is enough money to cover them.

    2. Interpretation and Translation

Events where talks and speeches are taking place may benefit from interpretation services. Consider the demographic of the guests you are inviting and decide whether this could be something which may help your event to go well. For example, if there is a percentage of French speakers at an event that is being delivered predominantly in English, consider hiring interpreters to enhance communication and inclusion.

Consider having key documents translated into any relevant languages by a translation agency. A good translation company such as Global Voices offers a range of services including translation and interpretation for your events. A quality translation service like this could take your event to the next level.

    3. Car Parking

It might not seem like a big deal, but car parking can make a huge difference for people travelling by car to an event. Consider getting in touch with local car parking operators to ask about any packages you can purchase for the event. This could mean that you offer a cheaper rate to delegates attending your event or pay a lump sum yourself to hire out a car parking space for the time needed.

    4. Name Badges

Many event attendees are divided over name badges. Some people find them helpful, while others don’t see much added value. If you think they would be useful for your event, however, it can be an additional feature which can help things run well. It can help people to connect, facilitate smoother introductions, and avoid awkward encounters where guests forget each other’s names.

    5. Charging Stations

Particularly for events which last all day (or all week), charging stations can be critical. People could be spending a lot of time on their phones, tablets, and laptops for business or leisure purposes. This may mean their devices run out of charge quickly throughout the day, resulting in frustrated guests if they can’t access a charger.

Consider hiring portable charging stations or speaking with the venue about additional charging points for delegates to use.

There are various things you can choose to include in your events planning to make things easier for you and your guests. Think about which additions might work for your upcoming events.
