• Meetings and events
- Follow up of meeting and event calendar
- Booking venues and meeting rooms
- Organising catering and refreshments
- Setting up meeting rooms
- Sending invitations, preparing and distribution of meeting documents
- Hosting participants and speakers
- Logistics during meetings and events
- Post-event administration and participant communication
• Members information and administration
- Maintenance of member databases
- Support to the invoicing process of membership
- Processing of member requests
- Drafting, updating and distributing of documents to members
- Mentoring of specific information channels
- Specific support for European Projects
- Administrative support for member working groups and expert groups
- General support to different communication channels (e.g. online webinars)
• Other operations and communications related tasks
- Meeting and greeting visitors, answering general incoming calls, distributing mail
- Arranging travels and processing expenses
- Daily contact with office suppliers
- Keeping operations inventories up to date
- Copying and filing of documents
- Follow up of all kind of practicalities at the office (coffee machine, water fountain, dishwasher, fridge…) and follow up of cleaning services
- Various administrative or communication tasks to support the CLEPA team
